Get the most out of your database
Did you know that Bob Monk house operated a successful database?
Sir Bob, as legend has it, used to keep details on every Doorman he ever dealt with dealt with in every working men's club he visited. He kept these in a little note book. When he visited these clubs from one year to next he used to make sure he new the doorman's names and small details about them. When he visited Bob would say "Hello Roger, how the wife/dog/kids?" Bob knew the importance of keeping the doorman happy.
You customers can have the same level of service if you start using a database. I recommend ACT from Sage software because it fulfils several criteria - it is relatively inexpensive it can be modified easily and the support is excellent.
Whatever your database here are some tips to get the most from it:
1. Make sure everyone uses it to record all details. For example we had a client recently who's wife was suffering with an illness and we made a note on the database and every time we talked to the client we made sure we asked after her. We would of probably remembered to ask but maybe not.
2. Write standard letters and get them running off the database. The database had all the fields that make up standard letters so why not run them off the database.
3. Assign the responsibility of keeping the database updated to one person. Everyone knows the story of anybody, somebody and nobody. Where anybody could of done it but nobody did it. Make it one persons responsibility and it will get done.
4. Make sure everyone has access to it and knows how to use all features on it.
5. Modify it to meet your requirements, this is easy with ACT as you can add fields, edit layouts etc. A Database is a relatively inexpensive tool that is, in my opinion, fundamental to a successful business. It will help keep you organized, streamline processes and give you the opportunity of wowing customers.
